Ruck & Roll is operated by RHOC Holdings Limited, a UK product studio. We are the data controller for account holder data, and act as data processor for the team and player data that clubs and coaches enter into the Service.

• Account data: your name, email address and sign-in credentials, used to create and secure your account.
• Organisation and team data: club names, team colours, badges and settings entered by your club.
• Player data: names, squad numbers, preferred positions, availability status, optional photographs, and match records (appearances, goals, assists, ratings) entered by coaches.
• Usage data: basic technical information such as device type and pages visited, used to keep the Service reliable and secure.

Ruck & Roll is used by youth rugby teams, so player data often relates to children. The Service is designed for adults (coaches and club officials) — not for children to sign up themselves. Clubs and coaches are responsible for having the appropriate authority or parental consent to record player information, and act as the data controller for that player data.

We only process player data to provide the Service to the club, and we never use it for advertising or profiling.

We use the data we collect to:

• Provide, maintain and secure the Service.
• Send essential service emails (account confirmation, password reset, invitations).
• Respond to support requests.
• Improve the Service, using aggregated or anonymised information only.

We do not sell personal data and we do not use it for third-party advertising.

Coaches can create read-only links showing a matchday squad. Anyone with the link can view that page until it is revoked or expires. These pages show only the team badge, fixture details, formation and player names and numbers — never notes, statistics or other teams' data. Share them carefully.

Data is hosted on secure cloud infrastructure with encryption in transit and access controls enforced at the database level. Each organisation's data is isolated so members can only see the clubs they belong to. We use a small number of trusted subprocessors (cloud hosting, authentication and email delivery) who process data only on our instructions.

We keep account and team data for as long as the account or organisation remains active. Historical appearance records are kept so season statistics stay accurate; players who leave a club are archived rather than deleted. You can request deletion of your account, a player, or an entire organisation at any time.

Under UK GDPR you have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, email hello@rhocholdings.com. For player data held by a club, please contact the club in the first instance.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We use only essential storage (for keeping you signed in) and do not use advertising or third-party tracking cookies.

We may update this policy from time to time. Material changes will be highlighted in the app or by email where practical. Continued use after changes take effect constitutes acceptance.
